2019-21 ACPE Sponsorship Benefits
If your company requires a statement of work (SOW), prospectus, terms of service and/or a detailed description of what's included in an annual ACPE sponsorship as well as costs, this is the page you would print. 

Sponsorships are annual agreements
  • ACPE sponsorships are an annual agreement starting on December 1 and ending on November 30.
  • Sponsorship benefits are two-fold. 
    • Conference benefits listed below based on sponsorship level.
    • Continuous benefits throughout the sponsorship year that are not sponsorship level dependent.
  • Only fully paid sponsors will receive ACPE conference sponsorship benefits.
    • A $2000.00 non-refundable deposit has two purposes;
      • holds a sponsorship level and space at the conference until paid in full for the level desired.
      • pays for the annual non-conference benefits in full
        • This is not refundable once paid and is independent of the conference benefits.
  • Sponsorships do not include ACPE membership or any ACPE membership benefits.
  • The 2021 annual conference will be held at Mt Hood Oregon Resort, Welches, OR on May 5-7, 2021.
  • The 2020 annual conference was postponed until 2021.
Sponsor Levels
  • Gold Sponsorship: $4,000.00
  • Platinum Sponsorship: $8,000.00
  • Diamond Sponsorship: $15,000.00
Sponsorship Considerations
  • Companies are not allowed to share sponsorships. 
  • We will acknowledge one company and bill one company.
    • Companies using their addition paid registrations accepts responsibility for payment if not paid by the attendee.
    • ACPE will not "split" any invoices for sponsorship.
Terms and Conditions: 

Sponsor Conference Benefits
  • Sponsor Showcases: Meet and Greet with our Members
    • Gold Sponsors are scheduled for two and a half hours showcase on the Wednesday night of the conference. 
      • The time and placements will be posted when the schedule is posted.
    • Platinum and Diamond are scheduled for 2 two and a half hours showcases on the Wednesday and Thursday nights of the conference. 
      • The time and placements will be posted when the schedule is posted.
  • Sponsors receive a limited number of free three-day conference registrations.
    • Gold receives two free registrations
    • Platinum receives four free registrations
    • Diamond receives six registrations
  • Sponsors receive a limited number of $500 three-day registrations
    • Discounted from the normal $1,500.00 corporate attendance fee.
    • Gold receives one additional registration.
    • Platinum receives two additional registrations.
    • Diamond receives four additional registrations.
    • There are no one-day reduced rate option
  • Diamond Sponsors receive free housing at the conference site for 6 people for 3 nights.
    • This will be 3 rooms, suites and/or condo that are onsite.
  • Prize Giveaways
    • ACPE will take your prize donations and provided added exposure to our membership during our prize give away at the end of the conference

  • Sponsor Partners Sessions/Presentations
    • These are the only option available for sponsors present/speak at our conference.
    • There will be 10 session slots available. 
      •  It's up to the Board to decide exactly how many and they base their decisions on quality and relevance to our membership.
    • Submitted proposals are reviewed and selected by the Board
    • A link will be sent out to the contacts on file on December 1 to begin submissions.
      • A rubric will be included in the notice to submit a proposal.
      • Only proposals that identify an ACPEnw district staff as a presenter will be considered
      • Submissions close on March 1.
      • Selected sessions will be announced no later than April 15.
Sponsors' Annual Benefits ($2,000 value)
  • Publicity, Website Publication, and ACPE Member Contact Information 
    • ACPE will maintain annual sponsor webpage linked from the ACPE website that includes;
      • company logo, description and contact information on the ACPE website.
    • In the normal course of business, ACPE will send six messages to ACPE members highlighting the annual sponsor webpage.
    • ACPE provides a contact list of all the ACPE members to each sponsor after the annual event in May.
Differences Between the Sponsorship Levels

Gold Sponsorship: Cost $4,000.00
  • Participation in one 2-hour Sponsor Showcase on the Wednesday night of the conference. This dinner event encourages attendance from our membership. Beverages including beer, wine and soft drinks are provided. 
  • ACPE provides approximately the square footage of an 8' x 8' space, wireless Internet, power, carpet and one 6' table. Chairs do not work in this setting and will not be provided.
  • Two free 3-day conference registrations for your staff that includes meals and beverages during the conference.
  • One additional conference registration for $500, a 66% discount.
  • Gold Sponsors can submit a proposal for a Sponsor Partners Conference Presentation.
    • The submission form opens on December 1 and closes on March 1.
    • Notification of successful proposals will be sent before April 15.
  • A company web presence on ACPE websites for the conference year starting January 1 and ending November 30. This includes;
    • one company logo displayed on ACPE's websites,
    • links to downloadable marketing information and 
    • specific contact information.
  • Your company's logo will remain on ACPE's websites from the time you are fully paid until October 31 of the conference year sponsoring.
  • Sponsors are included in six or more ACPE communications to its members starting in January and through the conference in May.
  • The attendee list will be provided one week before the conference as well as one week after the conference.
  • No housing is provided and your company must find lodging outside of the resort's property. The resort is fully booked for our members.
Platinum Sponsorship: Cost $8,000.00
  • Participation in two 2-hour Sponsor Showcases on Wednesday and Thursday nights of the conference. ACPE will provide desserts, finger foods, and beverages in your sponsor area. There will be a variety of themed based activities and entertainment in the Platinum area. These activities, events, and entertainment encourage attendance from our membership. 
  • ACPE provides approximately the square footage of a 9' x 9' space, wireless Internet, power, one 6' table, carpet, and up to two chairs on request. Chairs do not work in this setting and not recommended.
    • Chairs do not work in this setting and will not be provided.
  • Four free 3-day conference registrations for your staff that includes meals and beverages during the conference.
  • Two additional conference registration for $500, a 66% discount.
  • Platinum Sponsors can submit a proposal for a Sponsor Partners Conference Presentation. 
    • The submission form opens on December 1 and closes on March 1.
    • Notification of successful proposals will be sent before April 15.
  • A company web presence on ACPE websites for the conference year starting January 1 and ending November 30. This includes;
    • one company logo displayed on ACPE's websites,
    • links to downloadable marketing information and 
    • specific contact information.
  • Your company's logo will remain on ACPE's websites from the time you are fully paid until October 31 of the conference year sponsoring.
  • Sponsors are included in six or more ACPE communications to its members starting in January and through the conference in May.
  • The attendee list will be provided one week before the conference as well as one week after the conference.

Diamond Sponsorship: Cost $15,000.00
  • Participation in two 2-hour Sponsor Showcases on Wednesday and Thursday nights of the conference. ACPE will provide desserts, finger foods, and beverages in your sponsor area. There will be a theme-based activity in your area. These activities, events, and entertainment encourage attendance from our membership.
  • ACPE provides approximately the square footage of a 15' x 15' space, wireless Internet, power, two 8' tables and seating for eight.
  • Six free 3-day conference registrations for your staff that includes meals and beverages during the conference.
  • Four additional conference registrations for $500 each, a 66% discount.
  • Diamond Sponsors can submit a proposal for a Sponsor Partners Conference Presentation.
    • The submission form opens on December 1 and closes on March 1.
    • Notification of successful proposals will be sent before April 15.
  • A company web presence on ACPE websites for the conference year starting January 1 and ending November 30. This includes;
    • one company logo displayed on ACPE's websites,
    • links to downloadable marketing information and 
    • specific contact information.
  • Your company's logo will remain on ACPE's websites from the time you are fully paid until October 31 of the conference year sponsoring.
  • Sponsors are included in six or more ACPE communications to its members starting in January and through the conference in May.
  • The attendee list will be provided one week before the conference as well as one week after the conference.
  • ACPE provides Tuesday Wednesday and Thursday night lodging in two separate suites/condos on the Resort's property large enough to comfortably sleep four.
    • These suites or condos are approved to be used as a hospitality suite for gatherings outside of scheduled conference activities, events and/or sessions.

Benefits Details

Sponsor Showcase
  • Gold Sponsors receive an 8'x8' space in the Cascades Ballrooms for two hours for Wednesday night only, where dinner is served with beer and wine.
  • Platinum Sponsors receive a 9'x9' space in the Trails meeting room area, along with entertainment, activities, and bars, for two hours for both Wednesday and Thursday nights.
  • Diamond Sponsors receive a 15'x15' space in the Mallards area, along with entertainment, activities, and bars, for two hours for Wednesday and Thursday nights.
  • Includes high-speed wireless Internet and power are included. Wired Internet is included if requested.
  • Tables, chairs, and carpet are included.
    • Gold Sponsors receive one 6' table. (Gold do not receive any chairs. It's a stand-up event.)
    • Platinum Sponsors receive up to two 6' tables and can request seating for two.
    • Diamond Sponsors receive two 8' tables and can request seating for four.
  • ACPE will provide activities, gamification, and entertainment specifically designed to encourage attendees to visit with our sponsors at the showcase.
  • Your showcase location is provided on maps distributed to our attendees via our online conference tools, mobile app, and website.
Free Conference Registrations
  • Sponsors receive a limited number of free three-day passes allowing full access to all events, activities, and sessions as well as all meals and drinks. 
  • The best value and benefits are to network throughout the conference by attending all of our activities, events, and sessions.
  • Sponsors who take full advantage of these registrations have a greater return on their investment than those who come just for the "trade show" portion.
  • ACPE encourages vendors to engage fully and become equal partners in the conversation about technology, education and improving the quality of services our members provide their school districts.
    • Gold Sponsors receive two free passes and may purchase one additional pass for $500, a 66% discount. Gold Sponsors are limited to a total of three staff attending the conference.
    • Platinum Sponsors receive four free passes and may purchase two additional passes for $500 each. Platinum Sponsors are limited to a total of six staff attending the conference.
    • Diamond Sponsors receive six free passes and may purchase four additional passes for $500 each. Diamond Sponsors are limited to a total of 10 staff attending the conference.
    • Limits are strictly enforced to preserve the intimate nature of our conference.
Prize Giveaways
  • Sponsors can donate prizes to be given away at our popular Ice Cream Social, which ends the conference. 
  • Sponsors donating prizes for the Ice Cream Social will get a special mention at the Ice Cream Social. 
  • When possible, we will provide the name and contact information of the prize winner.

Sponsor Partners Conference Sessions/Presentations

  • Information about how and where to submit a proposal will be sent to sponsor contacts on file on or around Dec 1. (For 2021, this is delayed until further notice.)
  • There are at least 10 session sessions at our conference for ACPE sponsors with specific services and/or solutions.
  • The submissions form officially closes on March 1.
  • All sponsors signed up and have paid will receive an email notification when the submissions form is open.
  • These sessions are scheduled on the Wednesday of the conference, May 6, 2020, between 1:30 and 5 p.m. 
  • All sessions will be one hour in length. 
  • Notification of successful proposals will be sent before April 15.
    • Those not accepted will also be notified by April 15
  • Proposals will be judged based on the following criteria. 
    • The sponsor has fully paid its sponsorship invoice. if not, the proposal is not considered.
    • Sponsorship level 
    • Innovative idea or product               
    • Relevance to current K-12 needs               
  • The seminar must include a district partner who is/will be registered to attended and verifies they are part of the presentation.
    • This is the most valued consideration of the Board  
  • Only sponsors who have fully paid their sponsorship fees will be considered
  • Sponsors can make multiple submissions, but it is likely that only one session will be awarded per sponsorship.
  • The ACPE Board begins the review of submitted proposals after January 2. 
  • The submission process concludes on March 1. 
  • It is very competitive and a well thought through proposal is essential. 
    • We have over 40 sponsors submitting proposals each year.
  • Pre-conference session selection is at the sole discretion of the ACPE Board and all decisions are final.
