ACPE Sponsorship Benefits

If your company requires a detailed description of whats included in an annual ACPE sponsorship, this is the page you would print. 
This is the information you have agreed to when you sign up and click the "I agree" box on that form.

Sponsorships are annual agreements
  • ACPE sponsorships is an annual agreement starting on December 1 and ending on December 1 no matter when you have signed up.
  • Sponsorship is your entree to be a part of the annual conference and has benefits beyond participating in the three-day conference in May
  • The earlier you pay your sponsorship balance, the greater your benefits
  • Only fully paid sponsor receive ACPE sponsorship benefits.
    • Paying the non-refundable deposit only hold a space for your company and does not initiate benefits.
  • Conference year rates and benefits are review by the Board from May to October. Rates and benefits are subject to change until December 1.
    • FYI - The Board has decided to raise sponsorship rates on May 6, 2019.
    • Rate for 2019 have not been determined.
  • Sponsorships do not include ACPE membership or any ACPE membership benefits.
Sponsor Levels
  • Gold Sponsorship: $3,300
  • Platinum Sponsorship: $5,500
  • Diamond Sponsorship: $11,000
Sponsorship Considerations
  • We do not allow companies to share sponsorships. 
  • We acknowledge only one company and bill only one company.
    • Companies using their addition paid registrations accept responsibility for payment if not paid by the attendee.
    • ACPE will not "split" any invoices for sponsorship.

  • Sponsor Showcases: Two-hour Meet and Greet with our Members
    • Gold Sponsors are scheduled for Wednesday night, 5:30 - 7:30 PM
    • Platinum and Diamond are scheduled for two nights, Wednesday and Thursday nights, 8:00 - 10:00 PM
  • Free Three-day Conference Registrations
    • Gold receive two
    • Platinum receive three
    • Diamond receive four
  • Reduced Three-day Corporate Conference Registration Rates, $500 per registration (Strictly Limited)
    • Normal three-day corporate rate is $1,500
    • Gold receive one
    • Platinum two
    • Diamond four
    • No one-day reduced rate option
  • Diamond Sponsors receive two suites/condos with a total of four rooms within walking distance of the conference for three nights, Tuesday, Wednesday and Thursday
    • These suites/condos can be used as hospitality suites after 9 pm.
  • Prize Giveaways
    • ACPE will take your prize donations and provided added exposure to our membership during our prize give away at the end of the conference

  • Sponsor Partners Sessions/Presentations
    • There will be 10 - 15 session slots available. 
      •  It's up to the Board to decide exactly how many and they base their decisions on quality and relevance to our membership.
    • Submitted proposals are reviewed and selected by the Board
    • A link will be sent out to the contacts on file on December 1.
  • Advanced Publicity, Website Publication and Attendee Contact Information
    • A minimum of six pre-conference messages will go out to our membership between January 1 and May 1 that link to all of our sponsors and their sponsorship pages on the conference website
    • From January 1 to December 1, ACPE will maintain a Sponsorship link on their website to all sponsors and their sponsorship webpage.

Differences Between the Sponsorship Levels

Gold Sponsorship: $3,300
  • Participation in one 2-hour Sponsor Showcase on the Wednesday night of the conference. This dinner event encourages attendance from our membership. Beverages including beer, wine and soft drinks are provided. 
  • ACPE provides approximately the square footage of a 8' x 8' space, wireless Internet, power, and one 6' table. Chairs do not work in this setting and will not be provided.
  • Two free 3-day conference registrations for your staff that includes meals and beverages during the conference.
  • One additional conference registration for $500, a 66% discount.
  • Gold Sponsors can submit a Sponsor Partners Conference Presentation but are at a disadvantage to higher sponsor levels in scoring.
  • Sharing conference sponsorship in any way is not permitted.
  • Your company's name will be displayed on ACPE's conference registration website.
  • Your company's logo will be displayed on ACPE's conference website.
  • No housing is provided 
    • Your company must find it's own lodging outside of the resort's property. The resort is fully booked for our members.
Platinum Sponsorship: $5,500
  • Participation in two 2-hour Sponsor Showcases on Wednesday and Thursday nights of the conference. ACPE will provide desserts, finger foods, and beverages in your sponsor area.  There will be a variety of themed based activities and entertainment in the Platinum area.These activities, events and entertainment encourages attendance from our membership. 
  • ACPE provides approximately the square footage of a 10' x 10' space, wireless Internet, power, one 6' table and two chairs.
  • Three free 3-day conference registrations for your staff that includes meals and beverages during the conference.
  • Two additional conference registration for $500, a 66% discount.
  • Platinum Sponsors can submit a Sponsor Partners Conference Presentation and have a 10 point advantage over Gold Sponsors but 10 point disadvantage to Diamond.
  • Your company's logo will be displayed before and after our keynote sessions.
  • Your company's name will be displayed on ACPE's conference registration website.
  • Your company's logo will be displayed on ACPE's conference website.
  • No housing is provided. 
    • Your company must find it's own lodging outside of the resort's property. The resort is fully booked for our members.
Diamond Sponsorship: $11,000
  • Participation in two 2-hour Sponsor Showcases on Wednesday and Thursday nights of the conference. ACPE will provide desserts, finger foods, and beverages in your sponsor area. There will be a theme-based activity in your area. These activities, events and entertainment encourage attendance from our membership.
  • ACPE provides approximately the square footage of a 15' x 15' space, wireless Internet, power, two 8' tables and seating for eight.
  • Three free 3-day conference registrations for your staff that includes meals and beverages during the conference.
  • Four additional conference registrations for $500 each, a 66% discount.
  • Diamond Sponsors can submit a Sponsor Partners Conference Presentation and have a 20 point advantage over Gold Sponsors and 10 point point advantage over Platinum Sponsors.
  • Your company's logo will be displayed before and after all keynote sessions, lunches and Thursday night's dinner.
  • Your company's logo will be displayed on ACPE's main, registration and conference websites.
  • In addition, your company's logo will remain on ACPE's main website from the time you are fully paid until October 31 after the conference.
  • ACPE provides Tuesday Wednesday and Thursday night lodging in two separate suites/condos on the Resort's property large enough to comfortably sleep four.
    • These suites or condos are approved to be used as a hospitality suite for gatherings outside of scheduled conference activities, events and/or sessions.

Benefits Details

Sponsor Showcase
  • Gold Sponsors receive a 8'x8' space in the Cascades Ballrooms for two hours for Wednesday night only, where dinner is served with beer and wine.
  • Platinum Sponsors receive a 10'x10' space  in the Trails meeting rooms, along with entertainment, activities, and bars, for two hours for both Wednesday and Thursday nights.
  • Diamond Sponsors receive a 15'x15' space in the Mallards area, along with entertainment, activities, and bars, for two hours for Wednesday and Thursday nights.
  • Includes high-speed wireless Internet and power are included. Wired Internet is included if requested.
  • Tables, chairs and carpet are included.
    • Gold Sponsors receive one 6' table. (Gold do not receive any chairs. It's a stand up event.)
    • Platinum Sponsors receive up to two 6' tables and can request seating for two.
    • Diamond Sponsors receive two 8' tables and can request seating for four.
  • ACPE will provide activities, gamification and entertainment specifically designed to encourage attendees to visit with our sponsors at the showcase.
  • Your showcase location is provided on maps distributed to our attendees via our online conference tools, mobile app and website.
Free Conference Registrations
  • Sponsors receive a limited number of free three-day passes allowing full access to all events, activities and sessions as well as all meals and drinks. 
  • The best value and benefits is to network throughout the conference by attending all of our activities, events and sessions.
  • Sponsors who take full advantage of these registrations have a greater return on their investment than those who come just for the "trade show" portion.
  • ACPE encourages vendors to engage fully and become equal partners in the conversation about technology, education and improving the quality of services our members provide their school districts.
    • Gold Sponsors receive two free passes and may purchase one additional pass for $500, a 66% discount. Gold Sponsors are limited to a total of three staff attending the conference.
    • Platinum Sponsors receive three free passes and may purchase two additional passes for $500 each. Platinum Sponsors are limited to a total of five staff attending the conference.
    • Diamond Sponsors receive four free passes and may purchase four additional passes for $500 each. Diamond Sponsors are limited to a total of seven staff attending the conference.
    • Limits are strictly enforced to preserve the intimate nature of our conference.
Prize Giveaways
  • Sponsors can donate prizes to be given away at our popular Ice Cream Social, which ends the conference. 
  • Sponsors donating prizes for the Ice Cream Social will get special mention at the Ice Cream Social. 
  • When possible, we will provide the name and contact information of the prize winner.
Sponsor Partners Conference Sessions/Presentations
There are only 10 -15 session sessions at our conference for ACPE sponsors with specific solutions. The Board decides exactly how many based both the quality of the submissions and relevance to our membership. Keep in mind, we have over 30 sponsors submitting proposals each year. It is very competitive and a well thought through proposal is essential. Clearly, not everyone who submits a proposal will have a chance to participate.

The ACPE Board begins the review of submitted proposals after January 2. The review and selection process concludes on March 1. Only the sponsors with selected proposals will be notified. Pre-conference session selection is at the sole discretion of the ACPE Board and all decisions are final.

Details:
  1. You must be fully paid to submit a proposal.
  2. Submissions begin on December 1 with a email notification to those sponsors qualified to submit a proposal.
  3. All sessions will be one hour in length. They will be scheduled on Wednesday, May 2, 2018 between 1:30 and 4:30 p.m. 
  4. Even though sponsors can make multiple submissions, only one session will be awarded per sponsorship.
  5. The deadline for proposals is February 1. 
  6. Notification of successful proposals will be sent before April 1.
  7. Proposals will be scored based on the following criteria. 
    • The sponsor has fully paid their sponsorship invoice. if not, the proposal is not considered.
    • Sponsorship level (15-25 points: Diamond 25 points, Platinum 15 points,  Gold 5 points)
    • Innovative idea or product as determined by the ACPE Board (0-20 points)              
    • Relevance to K-12 needs as determined by the ACPE Board (0-20 points)              
    •  Seminar must includes a district partner who is/will be registered to attended and verifies they are part of the presentation. (35 points+) 
      • This is most valued consideration of the Board and really is a requirement. 
      • An exception could be made if the product or service is so new, innovative and/or compelling that the Board feels the membership would benefit in having the information presented.
  8. The ACPE Board begins the review of submitted proposals on January 2. The review and selection process concludes on March 1. Only the sponsors with selected proposals will be notified. Pre-conference

                              Advanced Publicity, Website Publication and Attendee Contact Information
                              • Sponsors are included in six or more ACPE communications to its members starting in January and will continue through December.
                              • All sponsors are included in a pre-conference email promoting Sponsor Showcases to attendees in April and the week before the conference.
                              • Sponsor's' company contact information, logos, description and downloadable marketing information will be on the sponsorship page of ACPE's conference website and linked from ACPE's home page.
                              • An attendee list will be provided one week before the conference as well as one week after the conference.
